Wedding Coordinator | What does a day-of coordinator really do?

After the colors have been chosen, the vendors have been hired and the seating chart has been made, it is time to party. The last thing you want to worry about on your wedding day is your grandmother getting down the aisle at the right time or the DJ announcing dinner when he is supposed to. After all of the work that you, your future spouse and your families have put into your perfect day, you want to make sure that you all actually get to enjoy it and don’t spend the whole day as a ball of stress…that is where a day-of coordinator can be your best wedding decision ever.

Day-of wedding coordination may look slightly different from vendor to vendor but generally it will follow these guidelines. 

  1. You make all of your wedding plans. You book your vendors, make decor decisions and are in charge of the overall planning process.

  2. You typically meet with your coordinator 30 to 60 days before your wedding. At this meeting you will be able to fill them in on all of your plans and give them contact info for your vendors.

  3. Your wedding coordinator will make your wedding day schedule. They will ensure the timeline takes all aspects of the day into account, such as time needed for photography and the reception flow. 

  4. They will contact all of your vendors to introduce themselves and make sure they are the day-of point of contact. They will also send them the completed timeline so everyone stays on the same page.

  5. They will run your wedding rehearsal.

  6. They will be the point of contact on your wedding day. Ensuring all vendors arrive on time and are in the right spot and that all small issues are taken care of before you (or your family) even knows they exist.

  7. They run your ceremony to ensure everyone gets down the aisle in order and on time.

  8. They coordinate your reception. They take care of everything from making sure the night stays on time, to keeping the microphone away from your overly-chatty cousin. They are also your go-to person if you want to make a last minute change!

  9. Lastly, they make sure your exit happens smoothly and on time.
